Client Services Manager

Job Summary:

The Client Services Manager is a key team member who serves as a cornerstone of exceptional client engagement, ensuring every client interaction is positive, personalized, and professional. This highly visible role involves fostering meaningful relationships, facilitating operational processes, and acting as the client’s primary point of contact for various inquiries. With a strong emphasis on client satisfaction, the Client Services Manager is integral in maintaining a seamless experience, from the first point of contact to ongoing interactions, through an organized and proactive client communication plan.

Key Responsibilities:

  • Client Onboarding & Support: Oversee new account paperwork and ensure that all client records are accurate and up-to-date, providing a smooth onboarding experience.
  • Client Engagement: Serve as the welcoming face of the office, greeting clients with warmth and professionalism to ensure a comfortable visit, fostering a lasting positive impression.
  • Phone & Email Communication: Manage incoming phone calls with excellent phone etiquette and efficiency, addressing client inquiries promptly and escalating as necessary.
  • Operational Coordination: Troubleshoot and resolve telephone system issues, ensuring consistent communication across all platforms.
  • Mail & Office Supply Management: Sort, prioritize, and distribute incoming mail, while managing inventory and ordering office supplies to maintain a well-functioning workspace.
  • Vendor & External Relations: Coordinate and maintain relationships with external vendors and service providers, ensuring the office runs smoothly and efficiently.
  • Client Database & Reporting: Maintain accurate and updated client databases, gathering necessary information for reporting, mailing lists, and outreach initiatives.
  • Event Coordination & Client Engagement: Plan, organize, and execute client appreciation events, including corporate functions and informal engagements, to foster deeper client relationships.
  • Documentation & Systemization: Develop, update, and refine written systems and processes for all tasks, ensuring consistency and efficiency.
     

Minimum Qualifications:

  • Education: Bachelor’s degree in business, marketing, communications, or related field.
  • Experience: 2+ years of experience in customer service, client-facing roles, or related experience in managing client relationships.

    • Organization & Time Management: Ability to efficiently organize, schedule, and manage multiple tasks simultaneously with acute attention to detail and a commitment to deadlines.
    • Professional Presentation: Display professionalism in appearance, conduct, and communication, reflecting the values and reputation of the organization.
    • Proactive Learning: A strong commitment to ongoing professional growth and personal development to enhance client service capabilities.

Preferred Qualifications:

  • Advanced Education/Certifications: An advanced degree in business, marketing, or related disciplines is a plus.
  • Industry Experience: Previous marketing, advertising, or public relations experience will be an asset in developing and executing client communications.
  • Securities Industry Knowledge: Familiarity with the securities industry or financial services would be advantageous in understanding client needs and expectations.
  • Technology Proficiency: Comfortable with office software, CRM tools, and phone systems to support daily operations.
